Best Practices for Emailing Hiring Managers

The email is often the first point of contact between you and a perspective employer, and can solely determine whether or not you are considered for the position. Below are some tips to help you get the most out of your initial emails.

Before You Email, Connect

Recruiters get hundreds of emails for a single job opening, so you need to make sure your email stands out from the rest.

To get noticed, first ask yourself, “How can I connect with the recruiter besides just sending an email?”

Well, a great place to start is to use Simply Hired’s Who Do I Know? feature. Log into LinkedIn via Simply Hired’s search result page and check to see if you have any connections at the company. If you have a connection, either reach out to this person directly for a referral to the position of interest or request an introduction.

If you don’t have a connection at the company, consider searching for a new connection at the company on LinkedIn. You can also look for the recruiter on Twitter and introduce yourself. The point is, use whatever means you have to ensure the recruiter recognizes your name and looks over your application.  

Composing the Email

When it comes to actually sending your email there are a few things to keep in mind: 

  1. Send Emails from a Professional Address - No HotGURL22@yahoo.com or Cowboysfootballfan99@comcast.net.  The simple name.number@isp.com works best.

  2. Craft an Attention Grabbing Subject Line - Avoid simple subjects like Sarah’s Resume or Jeff’s Application for Employment. Include the title of the position you’re applying for and any kind of credentials you have that set you apart from the pack. 

    Remember, the subject line contains the only 50 characters the recruiter or hiring manager is guaranteed to see, so make them count!

  3. Personalize! Personalize! Personalize!  - Forget the cut and paste cover letters or templates with a few substituted keywords (if you forget to update the company’s name in your template, that’s a sure-fire way for your email to get deleted right away). The last thing you want is for the recruiter to think you only put a template’s worth of effort into applying. This email is your cover letter, so customize your email to show how you meet the requirements laid out in the job description, whether that’s specific experience, skills or credentials. And don’t be afraid to show a bit of personality to stick out from the other candidates!

  4. Be Courteous and Polite – Your mother was right -- manners always have and always will go a long way. So make sure you include a greeting and introduce yourself at the start of you email. Likewise, include a thank you and a salutation (Best, Sincerely, etc.) at the end.

  5. Be Precise – Make your email concise and engaging -- many recruiters/hiring managers only briefly scan your cover letter for a few seconds, or a minute or two if you’re lucky. Include the most impressive information first so they are more likely to read it and add the more standard stuff towards the end.  If they list specific requirements, or if they ask any questions, include that information first, more general information can go at the end. Throughout the email be sure to compose short concise paragraphs or even bullet points, rather than giant blocks of text.

  6. Proofread – Whether in an email, a resume, or any other correspondence, you don’t want to be dismissed as a candidate because you misused the semicolon or used the wrong there/their/they’re. Check your work. When you’re done proofreading your email, proofread it again or have someone else look at it. Remember that once you send the email, it is set in stone!

Keep these tips in mind to ensure that your emails will catch the eye of those hiring managers and recruiters and you will land that first interview.

“Why have you been out of work for so long?" Another Tough Interview Question

This question always has you scrambling for an answer, it touches a raw spot and can be humiliating, but you can turn it around by facing and using the facts of the matter.

The facts are that you are a hardworking, competent professional who had always been led to believe that
was enough. You’d never had a problem finding work before and no one had ever told you there were specific job search skills you needed to develop, not at home, school or college or anywhere.

Then you got sideswiped by the biggest recession in eighty years and on top of this, the sudden move Internet-based recruitment (while you were working and not paying attention to such things) had changed all the rules of job search anyway.

You might try something along the lines of, “If you look at my work history you’ll see it has been steady for __ years. Then I lost my job. The big problem for me was my complete lack of understanding about how to find a job in the worst recession in eighty years, at a time when recruitment had moved entirely online and changed all the rules of job search.”

“I’d never had a problem finding a job before, but because of the changes in how you find a job today, when I did apply for jobs, most of the time my resume got stuck in a database and was never even seen by recruiters. I didn’t understand that my resume had to be written differently. The big reason I’ve been out of work is that my resume didn’t work in this new environment and I just haven’t been getting interviews.”

Then move the conversation forward to what’s most important to the interviewer: what you can do and how long it will take you to be productive. You might finish with a question of your own, asking about the most difficult and/or urgent responsibilities of the job and why people fail in this job, “but put me to work and I’ll get right back to doing what I do best: identifying, preventing and solving problems. What are some of the recurring problems your people have to deal with in this job?” The interviewer’s answer should give you ammunition to talk about how well suited you will be for the position.

Animal Trainer

What’s involved:

All animal trainers have the same basic job description: they teach animals to obey, perform, or assist people with disabilities. Yet depending on where your interests lie, there’s a whole world of career options in this diverse field. 

You could work with dogs, putting them through the rigorous training to become a guide for the blind. You
might find yourself interacting with dolphins at an educational aquarium. You could even land on a film set, wrangling horses for the latest cowboy movie.

Wherever you use your skills, you must have a love for animals, a passion for their wellbeing, and a whole lot of patience.

Why the job outlook is good:

Because of the increasing demand for both well-behaved pets and therapy/assistant animals, there are a growing number of jobs for domestic animal trainers. However, if you’ve got your sight set on being a marine trainer (Hello, SeaWorld!), expect some tough competition.

What training you need:

Technically, teaching Rover to roll over is animal training. However, if you wish to work at a higher level, you generally need at least a college degree in animal science and plenty of extracurricular time working with your animal of choice.

Show me the money!

The BLS puts the average salary of an animal trainer between $17,000 and $54,000.

Do cover letters help get interviews or are they a waste of time?

At the Secrets & Strategies career management group on LinkedIn this week, they were talking about some jobs guru who claimed cover letters are a waste of time and how you'll get more interviews if you stop using them. Another authority was cited as saying that hiring managers are peeved when they don't receive cover letters with resumes. Most people expressed confusion and exasperation, so I thought an answer to the dilemma would be useful.

Why cover letters?
A cover letter is designed to help build a bridge between you and a recruiter/hiring manager. Properly done it can get your resume read with serious attention and support the story that resume tells by revealing something more of the professional behind it. 

How the Internet has changed recruitment and job search
The Internet makes applying for jobs much easier, so much so that uploading your resume into a resume database / Applicant Tracking Systems (ATS), has become the default approach to job search. Job hunters now rely more on volume of applications than on the quality of those applications, yet most find this approach ineffective and frustrating.

Do cover letters help resume database performance?
ATS allow recruiters to access resume databases with keyword searches in much the same way as you use a Google search. The resumes with the most keywords, in the right places within the document and used most frequently rise to the top. The recruiter, just like you in a Google search, will probably look at no more than the top 20 results. How you achieve this is another conversation, but a cover letter can help that ranking and certainly will not hurt it.

Recruiters search databases for resumes, not cover letters, so an accompanying cover letter has secondary importance because it will be read only after the resume has been reviewed. But this does not mean that letter cannot increase your visibility through its keyword usage, and your desirability by adding insights additional to the resume.

"Experts" say cover letters are a waste of time
Their reasoning invariably demonstrates a lack of experience in how recruitment really works and the job search strategies that are likely to be effective in response. Resume databases are commercial enterprises, tailored to the needs of paying customers. If you see one of these options activated

  • A dialog box for inserting a cover letter
  • A dialog box requesting a cover letter as part of the application process
  • A dialog box demanding a cover letter be part of the application process
  • A dialog box requesting specific information as to your suitability

It means that someone in the selection cycle thinks information in addition to the resume will speed the recruitment process. When a resume database has one of these options, it would be crazy not to take advantage of the opportunity to promote yourself.

Because ATS function by tracking keywords, a cover letter with keywords relevant to the job posting can help your resume’s ranking, and therefore the likelihood of it being reviewed by a recruiter’s eyes, where it becomes an additional argument for your candidacy. 

Cover Letters & Direct Approach
The goal of a job search is to be done with it as quickly as possible and you do this by engaging in the job search activities that get you into conversation with the job titles that are in a position to hire you as quickly and as frequently as you possibly can.

I have just completed two weeks of webcasts about how to execute a network integrated job search. We spent over three hours discussing how you integrate networking techniques into every aspect of your job search, so that you can develop the capability to approach, by name, the people who have the authority to hire you.

When you have the ability to approach someone directly involved with the selection cycle by name, not to personalize your resume with a cover letter would be insanity.

Special Education Teacher

What's involved:
When you're a special education teacher, you work with students who have mental, emotional or physical disabilities—ranging from speech impediments and physical handicaps, to autism and Down syndrome. 

Like all teachers, you develop lesson plans, assign homework and measure progress. However, instead of traditional teaching methods, you use techniques that cater to your students' unique needs. Another aspect of your job involves creating Individualized Education Programs that outline tailor-made educational goals and milestones according to each student’s particular abilities.

Although your work presents daily challenges, the rewards of having a positive impact in another person’s life can be extremely high. 

Why the job outlook is good:
The growing number of students with disabilities is creating more job openings for special education teachers. In fact, this career field is expected to grow 17% by 2018—at a much faster pace than most occupations.

What training you need:
To work in special education, you must have at least a bachelor's degree and a teaching license. Depending on your state, you may also need a master's degree or a specific special education license, so check out your local requirements.
